This policy explains how Techvice ("we", "us") collects and uses your personal information when you visit techvice.co.uk or get in touch with us. We keep this simple: we only collect what we need to reply to you and provide our services.
Who we are
Techvice provides IT support and technology services in the United Kingdom. We are the data controller for the information described here. You can contact us about privacy at hello@techvice.co.uk.
What we collect
When you use our contact form or email us, we collect the details you give us:
- your name and, optionally, your company name
- your email address and, optionally, your phone number
- the service you're interested in and the message you send
We don't use analytics or advertising trackers on this website, and we don't set cookies. Our hosting provider may keep standard technical logs (such as IP addresses) for security and to keep the site running.
How we use it
- To reply to your enquiry and discuss your requirements
- To provide services you've asked for, and to keep records of our work with you
Our legal basis is our legitimate interest in responding to enquiries, and, where you become a customer, the performance of a contract with you. We will never sell your information or use it for unrelated marketing without your consent.
Business contacts we find publicly
To tell businesses about services that may help them, we sometimes collect business contact details that the business has published itself, such as a company name, a role or general email address (for example info@), a named contact's work email or phone number, and a public address, from sources like the business's own website, its Google Business Profile and Companies House. We also note publicly visible technical facts about the business's website and domain (for example whether email protection records are in place).
Our legal basis is our legitimate interest in offering relevant services to businesses. We only email limited companies and similar organisations this way, always with an easy way to opt out; we don't cold-email sole traders or partnerships. If you'd prefer not to hear from us, reply "no thanks" or email hello@techvice.co.uk and we'll add you to our do-not-contact list. We keep prospect details for no longer than 12 months unless you become a customer.
Facebook, Instagram and WhatsApp
If you reply to one of our adverts on Facebook or Instagram using a lead form, we receive the details you choose to submit, such as your name, business name, number of staff, email address, phone number and what you'd like help with. If you message us on WhatsApp, Facebook or Instagram, we receive your name, number or profile and the messages you send.
We use these details only to reply to you and discuss your requirements. Our legal basis is our legitimate interest in responding to enquiries. Meta (which runs Facebook, Instagram and WhatsApp) processes this information under its own privacy policy; we don't upload customer lists to Meta, and we don't use tracking pixels on this website.
Who we share it with
We use a small number of trusted providers to run our business, who process data on our behalf:
- Formspree, which receives contact form submissions and forwards them to us by email
- Hostinger, our email provider
- Cloudflare, which hosts and protects this website
- Meta (Facebook, Instagram and WhatsApp), when you contact us through those services or reply to our adverts
Our pages also load fonts from Google Fonts, so your browser connects to Google's servers, which receive your IP address.
Some of these providers may process data outside the UK. Where they do, they use appropriate safeguards such as the UK International Data Transfer Addendum or Standard Contractual Clauses.
How long we keep it
We keep enquiries for up to 24 months so we can refer back to previous conversations. For customers, we keep records for as long as we work together and then for up to 6 years for legal and accounting purposes.
Your rights
Under UK data protection law you have the right to access, correct or delete your personal information, to object to or restrict how we use it, and to data portability. To exercise any of these rights, email hello@techvice.co.uk. We'll respond within one month.
If you have a concern about how we've handled your information, please contact us first at hello@techvice.co.uk and we'll do our best to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Changes
We may update this policy from time to time. The date at the top shows when it was last changed.
